WatchNotes

Privacy Policy

Last updated: October 18, 2026

WatchNotes is a diary for the films and shows you watch. This policy explains what data the app uses, why, and how you can delete it. WatchNotes is developed by thekagio. Questions: [email protected].

Using the app without an account

You can use WatchNotes without creating an account. In that case your diary is stored only on your device and is not sent to our servers.

What we collect

  • Account. Your email address and an account ID. If you use Sign in with Apple, Apple may give us a private relay email instead of your real one.
  • Your diary. Titles you log, watch dates, ratings, notes, your username (@tag), friends and friend requests.
  • Profile photo. If you upload a photo, it is stored on our servers and shown on your profile.
  • Recently watched. For everyone with an account, the app saves your last 10 watched titles on our servers: title, type (film or show), poster, rating, season and episode, and date. New views overwrite older ones; your full history is not stored there.
  • Profile stats (Plus and PRO). For Plus and PRO subscribers, the app saves the total number of titles watched, watch hours and your favorite genre. They are calculated on your device from your whole history, and hours and genres come from TMDB data.
  • Blocked users. If you block someone, we store only the pair of accounts: who blocked whom.
  • AI companion (PRO). The messages you send to the companion, photos you attach, and the parts of your diary needed to answer. See “AI companion” below.
  • Companion memory. Short notes about your preferences, only if you turn memory on.
  • Reminders. The text, date and time of reminders you ask for, and the title they relate to.
  • Usage counters. How many companion messages and Smart imports you used, to apply daily and monthly limits.
  • Plan status. Your plan (Free, Plus or PRO) and when it ends.
  • Smart import. Screenshots, text or data files you choose to upload for import.
  • Purchases. Your subscription status and purchase history. Payments are handled by Apple; we never see your card details.
  • Advertising. If you do not have Plus or PRO, ads are shown by Google AdMob. The advertising identifier of your device is used only if you allow tracking in the iOS prompt.

We do not sell your personal data.

How we use it

  • To save your diary and sync it between your devices.
  • To show your profile, recently watched titles and, for PRO, your stats to the friends you add, and to show friends' recent activity in your feed.
  • To apply blocks between users.
  • To recognize titles and dates in Smart import.
  • To check your subscription and unlock Plus and PRO features.
  • To answer your messages and carry out your requests in the AI companion.
  • To remember your preferences if you turn memory on, and to send reminders you ask for.
  • To enforce plan limits (daily companion messages, monthly Smart imports).
  • To show ads to users without Plus or PRO, and to answer your support requests.

Services we rely on

  • Supabase stores accounts, diaries, profile photos, recently watched titles, stats, companion memory and reminders, and friend and block lists.
  • Apple provides Sign in with Apple and processes App Store payments.
  • RevenueCat keeps track of subscription status.
  • Google AdMob shows ads to users without Plus or PRO. The app first shows the iOS tracking request (ATT) and, where required, the Google consent form (UMP) in the EEA, the UK and some US states. The advertising identifier is used only if you allow it, and you can change your choice later in the app or in iOS settings.
  • AI services process your messages, photos and Smart import content to generate answers and recognize titles. We use an AI gateway that routes requests to a language model provider. Content is sent only to produce the result.
  • TMDB provides film data and posters. Search queries are sent to TMDB to find titles.

Each service processes data under its own privacy policy.

Smart import

When you use Smart import, the screenshots, text or files you select are sent from your device, through our server, to an AI service for automatic processing. WatchNotes does not keep these files on its servers. Only the recognized titles and dates that you confirm are saved to your diary.

AI companion

AI companion (WatchNotes PRO). When you chat with the companion, your messages and any photos you attach are sent from your device, through our server, to an AI service that generates the reply. To give relevant answers we also include parts of your diary (recent titles, series you are watching, a list of other titles, dates, ratings and a short summary of your taste), your language and time zone, and, if you turned memory on, the notes the companion remembers. We do not send your email address, password or payment details. Our server does not store your messages, photos or the replies; the conversation history is kept only on your device. If you turn memory on, short notes about your preferences are stored in your account; you can view and delete them at any time in Settings. Reminders you ask for are stored in your account so they can reach all your devices, and are deleted a few days after they fire. The AI service processes this data under its own terms and privacy policy. You can stop using the companion at any time; deleting your account deletes the data we store.

The companion's answers are generated by AI and may be wrong. We do not make decisions with legal or similarly significant effects about you based on them. The companion is not for children under 13.

What friends can see

Friends you add can see your username, profile photo and the watch history allowed by your privacy settings. On your profile they also see your last 4 recently watched titles, and in their activity feed they see up to 10 of your latest views. If you are a Plus or PRO subscriber, friends can also see your profile stats and your plan badge (Plus or PRO). You can remove a friend at any time.

In Settings → Privacy you can turn off sharing your activity (“Share my activity”) and hide your stats (“Show stats”).

Blocking users

You can block another user. When you do, your friendship and any requests between you are removed. The blocked user can no longer find you, send you a request, or see your profile, recently watched titles and stats, and the app does not tell them that they were blocked. Only you can see your list of blocked users: it is in Settings → Privacy → Blocked, where you can also unblock someone. Block records are deleted together with the account of either of the two users.

Keeping and deleting data

We keep your data while your account exists. In the app settings you can delete your watch history or your whole account. Deletion removes the data from your device and from WatchNotes servers, including your profile photo, recently watched titles, stats and block records, and cannot be undone. Resetting your watch history in the app also clears the cloud copy of your recent activity.

Companion memory and reminders can be deleted in Settings at any time. Reminders are also removed automatically a few days after they fire. Everything is deleted with your account. Your companion chat history lives only on your device.

If you have an active auto-renewing subscription, turn off auto-renewal in your Apple ID settings first: an account with active auto-renewal cannot be deleted. WatchNotes cannot cancel Apple subscriptions for you.

You can also ask us to delete or export your data by writing to [email protected].

Your rights

Depending on where you live, you may have the right to access, correct, export or delete your data, and to object to or limit its processing. Write to [email protected] and we will reply within 30 days. You can withdraw your consent to the AI companion at any time: stop using it, delete its memory in Settings, delete your account, or write to us.

International transfers

Our service providers, including Supabase, the AI gateway and the AI model providers, may process data in countries other than yours. Where the law requires it, we rely on safeguards such as standard contractual clauses.

Children

WatchNotes is not directed at children under 13, and we do not knowingly collect data from them. If you think a child has given us data, contact us and we will delete it.

Security

Data is sent over encrypted connections, and access to diaries on our servers is limited to their owners. No system is perfectly secure, so please use a strong password.

Changes to this policy

If this policy changes, we will update the date at the top of the page. For important changes we will also tell you in the app.
